Information we collect
When you visit this website
You can read the whole site without creating an account or giving us your name. The site is hosted on Cloudflare Pages, provided by Cloudflare, Inc. To deliver each page, Cloudflare processes technical information sent by your browser: your IP address, the page requested, the date and time, and your browser and device type. This is also used to keep the site secure and working.
We do not use analytics, advertising tags or tracking pixels, and the site sets no cookies of its own. The Trustpilot rating on the homepage is loaded from Trustpilot’s servers, so Trustpilot receives your IP address and browser details when it appears, and its widget may set a cookie on Trustpilot’s domain. Our cookie policy explains this. The site has no contact or enquiry forms; enquiries are taken by telephone.
When you phone, email or write to us
You may give us your name, job title, school or trust, contact details, the site address and information about the leak and site access. Please give only what the enquiry needs. Do not send pupil records, health information or other sensitive personal information.
ADI’s office records telephone calls for quality and training, and may use a recording as evidence when handling a complaint or legal claim.
When you book work with us
To arrange and carry out a survey we also need the billing address, the name and number of the person meeting the engineer on site, and payment details. Card details given to secure an appointment are stored securely on our system, used to take payment through our virtual payment terminal and to secure any further appointments you book, and deleted automatically 30 days after your last appointment.
You do not have to give us personal information, but without contact details we cannot reply to an enquiry or arrange a visit.
When someone else gives us your details
A colleague, trust, managing agent or contractor may give us your name, role and contact details, for example when they book a survey and name you as the person meeting the engineer. We use those details for the purposes in this policy.
How we use it, and our lawful basis
- Answering enquiries, giving quotations, arranging and carrying out surveys, and sending reports. Where you are the customer, the basis is taking steps before a contract or performing one. Where you contact us on behalf of a school, trust or other organisation, the basis is our legitimate interest in dealing with enquiries and work for that organisation.
- Taking payment and keeping accounting records. Performing the contract, and complying with our legal obligations.
- Recording calls for quality and training, and using a recording as evidence in a complaint or legal claim. Our legitimate interests in checking and improving the service we give, and in resolving complaints and defending legal claims.
- Keeping service records so we can refer back to earlier investigations. Our legitimate interest in giving informed advice if the same site needs us again.
- Running and protecting this website. Our legitimate interest in providing a secure, working website.
This website does not make automated decisions about you or build profiles of visitors. Browsing the site is not consent to marketing.
Who we share it with
We share personal information only where needed for the purposes above. That can include:
- our payment service provider, to process payments;
- your insurer or loss adjuster, when they ask us about a claim;
- other trades needed to complete the work, with your permission;
- companies that provide our telephone, email and IT services, acting on our instructions;
- Cloudflare, Inc., which hosts this website and delivers its pages, acting on our instructions under Cloudflare’s privacy policy and its data processing terms;
- Trustpilot A/S, which provides the review widget on the homepage and receives technical information when it loads, under Trustpilot’s own privacy policy;
- professional advisers, and regulators, courts or law enforcement where the law requires it.
We do not sell personal information.
Information processed outside the UK
Some of our service providers may store or process information outside the UK. Cloudflare, which hosts this website, runs a global network, so a request for a page can be handled in a data centre outside the UK, including in the United States. Cloudflare’s data processing terms cover transfers of UK personal data through the UK extension to the Data Privacy Framework and the UK Addendum to the EU standard contractual clauses.
Any other transfer must be covered by UK adequacy regulations or by appropriate safeguards, such as the ICO’s International Data Transfer Agreement or the UK Addendum. Contact us for details of the safeguards used.
How long we keep it
We keep personal information for as long as we need it for the purposes in this policy. Customer names, site addresses and survey reports may be kept for several years so we can refer back to earlier investigations, unless you ask us to delete them and we have no other reason to keep them. Call recordings are kept for 30 days and then deleted automatically. Card details are deleted automatically 30 days after your last appointment. Payment and accounting records are kept for as long as tax and company law require. Technical logs are kept by our hosting provider for security and troubleshooting and then deleted.
Your data protection rights
Depending on the circumstances, you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete information;
- ask us to restrict how we use it;
- object to our use of it where we rely on legitimate interests;
- ask for information you gave us to be transferred to you or another organisation;
- withdraw consent at any time, where we rely on consent.
Some rights have legal exceptions. Contact us using the details above to make a request; you do not need to use a form. We normally respond within one month. For complex or numerous requests the law allows up to two further months, and we will tell you if we need them.
If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator.
Children
This website is for school staff and other adults responsible for school buildings. It is not aimed at children, and we do not knowingly collect children’s information through it.
Changes to this policy
We update this policy when the way we handle personal information changes, for example if we change how enquiries are taken. The date at the top of the page shows when it was last reviewed.
